Impact Idol

One platform. One mission. Greater impact.

For the person who stays until the chairs are stacked.

Behind every volunteer who shows up on a Saturday, someone confirmed them, moved a waitlist at midnight, logged the hours, and turned it all into a report a funder will actually read. Impact Idol runs that work, from the first sign-up to the final report.

  • Web + native iOS & Android
  • Your branding, your terms
  • Free up to 500 volunteers

Illustrative. People and organizations are fictional; each behavior shown is part of the platform.

They give up Saturday mornings, bring their kids, and show up in the rain. The least we can do is make the part before and after feel as good as the part in the middle.

01 / THE PATCHWORK

Mission work doesn't happen in dashboards. It happens at odd hours, in real rooms.

The coordinator answering texts at 10:47 PM. The pantry manager counting cans before sunrise. The chapter lead three time zones from head office. Most of them run on a patchwork of tools they assembled because they had to.

Each piece works on its own. The trouble is in the gaps between them, where a cancellation, an expired check or an hour nobody logged goes missing.

02 / SEE IT WORK

Watch a Saturday happen.

Seven moments from one fundraising run, from a volunteer finding it to the report the board sees afterward. Pick any step, or let it play.

Volunteers browse without signing up first: events, shifts and ongoing opportunities together.

  1. Find something worth showing up for (Volunteer)

Events, shifts and ongoing opportunities in one stream, browsable without an account.

    • Volunteers browse without signing up first: events, shifts and ongoing opportunities together.
    • Filter by cause. Every row shows how many are going and how many spots are left.
    • One tap opens the event.
    • When, where, ages and spots: the facts a volunteer checks first.
    • Shifts show live capacity. Nearly full turns orange; a full shift offers the waitlist.
  2. Register the whole family in one sheet (Volunteer + family)

No waiver maze, no confirmation pages. Everyone gets their own ticket.

    • Registering is a single sheet, opened from the event page.
    • Family members are already there. Age rules apply as you pick: Isha is 9, so she can't join this one.
    • Aarav is 12, so he's in. Each person gets their own ticket.
    • The button always names the next missing step, then becomes the action.
    • Done. The event flips to Going, and both tickets land in the wallet.
  3. Know exactly where to be (Volunteer)

On event day, Home becomes one card: your shift, a countdown, and the one thing to do next.

    • On event day, Home is one card: where to be, where to park, and a countdown to your shift.
    • When check-in opens, the card's single button becomes your ticket.
    • Tickets stack like a wallet: one code for each family member.
    • Scanned in. The card turns green and points to the event chat.
  4. Check people in at the gate (Host)

Hosts use the same app. Scan a ticket, or tap names on the list; the count is live.

    • Hosts use the same app. On event day their Home shows the live count and what needs them.
    • Scan tickets with the phone camera, or switch to the list and tap names.
    • A family ticket checks in everyone on it, together.
    • Express mode checks people in the moment their code scans. Every host sees the same live count.
  5. Talk to your crew, not a group text (Everyone)

Every event has a chat for host updates and the questions that come up on the day.

    • Every event gets a chat, so day-of updates come from the hosts, in one place.
    • Volunteers meet their crew before they arrive.
    • Questions go to the people who can answer them.
    • Answered in the thread. No phone numbers exchanged, no reply-all.
  6. Approve hours in one pass (Host → volunteer)

Hours arrive pre-filled from check-in. Approve all, and certificates follow.

    • After the event, hours arrive pre-filled from check-in and check-out. The host reviews one list.
    • Approve all, or reject one with a reason.
    • Volunteers are told once.
    • Approved hours become a certificate the volunteer can share.
  7. Turn it into a report a funder will read (Admin · web)

Every check-in and approved hour lands in the record your admin team reports from.

    • Every check-in and approved hour lands in the record the admin team reports from.
    • Volunteer growth and hours by month, with no spreadsheet in between.
    • The Impact view values hours at the Independent Sector rate ($33.49/hr), and says so.
    • Export to PDF, Excel, CSV or JSON for the board, the funder, or your own analysis.

Phone screens show the branded iOS and Android apps we provide for our clients. The reporting dashboard is part of the web platform. People, events and numbers are illustrative.

03 / THE APP

One app. Every seat at the event.

Volunteers, families and hosts use the same app. The admin tools aren't hidden in a back office; they appear on the event itself for the people running it.

Everything a volunteer gives, in one place.

  • Register in one sheet, for you and your family
  • A wallet of tickets, one per person
  • Hours arrive on their own from check-in; log other service in a sheet
  • Certificates for approved hours, ready to share

06 / OUR WHY

We saw it firsthand.

  • Nonprofits were managing volunteers with scattered tools. Sign-up links, spreadsheets and group texts, stitched together by whoever had the time.
  • Volunteers were hard to connect with, keep engaged, and bring back. The goodwill was there. The follow-through kept slipping between the tools.

So we built a better way.

Impact Idol gives nonprofits the tools to manage their volunteers, strengthen their programs, and focus on their impact.

Our mission

One platform. One mission. Greater impact.

More than a volunteer management system. Impact Idol is a platform to make volunteering more joyful and more effective. It is the connected platform that powers volunteer engagement, conferences, ticketed events, food pantries, giving, and the day-to-day operations that help nonprofits create greater impact.

HOW WE COMPARE

Most teams aren't choosing between software. They're choosing between patchworks.

Here is how the usual setups handle the moments that matter, and where Impact Idol fits if you're weighing a specific tool.

08 / TRUST

You're holding people's records. We act like it.

Background checks, minors, medical notes, home addresses. Here is what protects them, in plain language.

Six roles, not one shared login

Volunteers, hosts, chapter leads and admins each see what their role allows, and nothing more.

Two-factor sign-in

Authenticator-app codes with backup codes. You decide whether admins must use it.

ID documents encrypted

Uploaded ID documents are encrypted with AES-256-GCM, and uploads are checked for what they really are.

An audit trail

Key changes are recorded as signed audit entries, so you can see who changed what.

Guardian consent for minors

Teens can sign up, and a parent or guardian approves through a one-time link.

Leaving is real

Volunteers can delete their own account, and their personal details are anonymized.

09 / PRICING

Free for up to 500 volunteers.

Built for the size most nonprofits really are: 59% of US nonprofits run on less than $50,000 a year.1 Larger organizations still get the software free, and pay only for the hosting their size needs.

Up to 500 volunteersFree

The full platform, configured for your organization. No feature tiers.

More than 500 volunteersHosting only

The software stays free. You pay a monthly fee for the hosting your size needs, and nothing for features.

A FEW GOOD QUESTIONS

Glad you
asked.

What is Impact Idol?+

Impact Idol is a volunteer and mission operations platform for nonprofits and community organizations. It covers the whole volunteer journey in one record: discovering opportunities, registering (including families and teens with guardian approval), event-day check-in, event chat, hours approval, certificates, and reporting for boards and funders. It runs on the web and in branded iOS and Android apps.

Is this more than volunteer scheduling?+

Yes. Impact Idol brings volunteer operations together with events, chapters, Village services, conferences, giving logistics and reporting, on the web and in native apps. You turn on the modules that fit your work.

Do we get our own app?+

Yes. We provide branded native iOS and Android apps for your admins, volunteers and members, carrying your organization's name and colors. Everything is white-labeled, and your organization's data is kept isolated.

How does pricing work?+

Impact Idol is free for organizations with up to 500 volunteers. Beyond that, the software is still free: you pay only for hosting, never for features or modules. We'll walk you through it on a call.

Can it feel like our organization?+

Yes. Branding, terminology, signup rules, chapter settings, roles and enabled modules are configured around your organization.

Can we get our data out?+

Yes. Reports export to PDF, Excel, CSV and JSON, and we'll talk through a full export of your records whenever you need it.

Can you help us move from spreadsheets?+

We look at your existing data and workflows during the demo, then scope onboarding and migration around what you need first.
